Privacy notice
Last updated 26 October 2026.
XVH (Xplore Venture Hub) is a learning platform for Jamaican primary schools. This notice explains, in plain language, what information we keep about pupils, parents and teachers, why, who can see it, how long we keep it, and what you can ask us to do.
What we collect
Pupils
- Account details: first and last name, grade, school, class, a username, an avatar they choose, and a PIN (stored scrambled, so nobody can read it). Pupils never need an email address or phone number.
- Learning records: the activities they do, their answers and scores, stars, coins, badges, streaks, practice levels, placement results, the daily riddle and assignments they finish.
- How they use activities: when they open one, how far they get, whether they finish, and how they found it (for example from their home page or the map). We use this, added together without names, to see which activities pupils enjoy or find too hard, and keep it for 6 months.
- Work they send to a teacher: writing, answers to performance tasks, and comments and marks from their teacher or parent.
- Pictures they draw in the drawing studio or pattern activities and choose to send to their teacher.
- Voice recordings of themselves reading aloud, made only when they do a reading check and press Record. Nothing is recorded at any other time.
Parents, teachers and school admins
- Name, email address and password (stored scrambled), your school or linked children, and the classes you teach.
- Activities and lesson plans you create, marks and comments you give, and messages to your class.
- Teachers' voice recordings made on the Record voices page. Once approved, these are played to pupils across XVH when words and stories are read aloud.
- If you turn on phone notifications, a technical address for your browser so we can send them.
Why we use it
Only to run XVH: to let children log in, save their work and progress, give rewards, choose activities at the right level, and show results to their own teachers and parents (including weekly emails and report cards). We use results without names, added together, to see which activities work and to improve them.
We never sell information, never show advertising, and do not use advertising or tracking cookies or outside analytics services.
Who can see a child's information
- The child, the teachers of their classes, their school admin, and parents or guardians linked to their account.
- Classmates see each other only by first name and the initial of their last name (for example "Tia B."), with their avatar and points, on the class leaderboard and in live quizzes. Classmates see a pupil's picture only if the teacher chooses to show it in the class gallery.
- Voice recordings of a pupil reading can only be heard by the pupil, their teachers, linked parents and the XVH team. They are never shown publicly.
- A small XVH team can see information when they need to, to run the platform, keep it safe and help schools.
Services that help us run XVH
- Hosting: XVH runs on a server we rent. The information is kept there, not on teachers' or pupils' devices.
- Backups: we back up every night. A copy is encrypted (scrambled with a key only we hold) and then stored in Google Drive, so Google cannot read it.
- Email: sent through our own mail service.
- Phone notifications pass through the push service of your browser (for example Google, Apple or Mozilla). They contain only a short message, such as "Your writing has been marked".
- Reading aloud uses the voices built into your device. Some online voices offered by your browser send the text being read to the browser's maker.
Cookies and your device
We use a few cookies that XVH needs to work: one to keep you logged in, one to protect forms, and ones that remember your reading and low-data settings. Your device may also keep your settings (such as the voice and text size), answers you are still working on, and activities saved for offline use. None of these are used for tracking.
How long we keep it
- Accounts and learning records are kept while the pupil, parent or teacher uses XVH, or until the school or family asks us to delete them.
- Nightly backups are kept for up to about three months, then deleted.
- Pictures and reading recordings are kept with the pupil's account. When they are deleted, they are also removed from the next backup copy.
Keeping it safe
Passwords and PINs are stored scrambled. XVH is only available over a secure (https) connection. Each person only sees what their role allows, and important changes are recorded.
Your rights and choices
- You can ask to see the information we hold about you or your child, ask us to correct it, or ask us to delete a child's account, results, pictures and recordings. A pupil's teacher can also delete their account, which removes all of these straight away.
- Parents and teachers can delete their own account at any time from My account. See how to delete an account.
- Parents can turn off weekly emails and phone notifications at any time in their account.
- Contact your child's school, or email us at support@xvh.io. We will reply as soon as we can.
- If you are not happy with how we handle your information, you can also contact Jamaica's Office of the Information Commissioner.
Changes to this notice
If we change how we use information, we will update this page and the date at the top.
